1. About These Terms

These Terms and Conditions apply to all tours, treks, safaris, day trips, transfers and other services booked with Explore Trekking Adventure ("ETA", "we", "us"), a Tanzanian tour operator based in Moshi, Tanzania (Company Reg. No. 209284146), and to your use of this website. By requesting a quote, making a booking or paying a deposit you confirm that you have read and accepted these terms on behalf of yourself and everyone in your travelling party.

2. Quotations and Bookings

  • All trips are private and can be customised. A quotation is based on the dates, group size, accommodation level and services you request, and is valid for the period stated on it.
  • A booking is confirmed only when we have sent you a written booking confirmation and received the deposit stated in it.
  • You are responsible for checking that names, dates, spellings and services on your confirmation are correct and for telling us of any error straight away.
  • Prices shown on the website are guides per person, sharing, and can vary with group size, season, accommodation and park fees. Your confirmed quotation is the price that applies.

3. Prices and Payment

  • Prices are quoted and bookings are confirmed in US Dollars (USD). Prices displayed in pounds or euros on the website are converted for convenience at a recent exchange rate and are approximate.
  • The deposit and the date the balance is due are stated in your booking confirmation. Balances not received by the due date may lead to your booking being cancelled under Section 5.
  • Payments are processed through trusted third-party payment providers or by bank transfer. We do not store your card details. Any bank or card fees charged by your provider are your responsibility.
  • Park fees, permits, VAT and government levies are included in our quotations unless we say otherwise. If a government authority changes a fee or tax after booking, we may pass the difference on to you and will tell you before you travel.

4. What Is Included

Each tour page and quotation lists what is included and what is not. Unless stated, the following are not included: international and domestic flights, visas, travel and medical insurance, personal expenses, tips and gratuities, drinks at hotels and lodges, and optional gear or activities you add.

5. Changes and Cancellation by You

  • Please tell us in writing (email or WhatsApp) if you want to change or cancel your booking. The date we receive your message is the date of change or cancellation.
  • Cancellation charges depend on how close to departure you cancel and on non-refundable costs we have already committed on your behalf, such as park fees, climbing permits, flights, lodge deposits and crew allowances. The charges that apply to you are stated in your quotation or booking confirmation.
  • If you do not join the trip, arrive late, or leave early, no refund is due for unused services.
  • We strongly recommend that you buy travel insurance that covers cancellation, curtailment and medical evacuation when you book.

6. Changes and Cancellation by Us

  • We may need to change an itinerary, route, vehicle, guide or accommodation because of weather, park or road closures, safety, availability or other circumstances beyond our control. We will offer a suitable alternative of similar standard wherever we can.
  • If we must cancel a trip for reasons within our control, we will offer you an alternative date or trip, or refund the amounts you have paid for the cancelled services.
  • We are not responsible for costs that arise from events outside our control (see Section 12).

7. Travel Documents, Visas and Insurance

  • You are responsible for holding a passport valid for at least six months from your date of arrival, the correct visa for Tanzania, and any vaccination certificates required for your journey (for example yellow fever when arriving from an affected country).
  • Tanzania requires most foreign visitors to hold valid travel insurance while in the country. You are responsible for buying cover that meets the current legal requirements and, for treks and safaris, that also covers medical treatment and emergency evacuation.
  • Requirements change. Please confirm current rules with the official Tanzanian authorities before you travel; we are happy to guide you but the responsibility remains yours.

8. Health, Fitness and Altitude

  • Kilimanjaro, Mount Meru and other treks involve physical exertion at altitude and carry real risks, including altitude sickness, exposure and injury. Every trekker must be in good health and reasonable fitness.
  • You must tell us about any medical condition, allergy, disability, pregnancy or dietary need when you book, and again if anything changes before you travel. Please consult your doctor before booking a trek.
  • Your lead guide has the final say on safety. Guides may require a climber to rest, descend or stop the climb, for example when symptoms of altitude sickness appear, without refund for the unused part of the trip.
  • Our crews carry first-aid equipment and emergency oxygen, but mountain and remote safari areas may be a long way from advanced medical care. Evacuation costs are your responsibility and should be covered by your insurance.

9. Safaris and Wildlife

  • Wildlife is wild. We cannot guarantee sightings of any animal, the timing or location of the Great Migration, or river crossings, and the absence of a sighting is not grounds for a refund.
  • Follow your guide's instructions at all times. Do not leave the vehicle except at approved places, feed or approach animals, or make loud noises near wildlife.
  • Park rules set by TANAPA, the Ngorongoro Conservation Area Authority and other authorities apply to everyone in the park.

10. Treks and Mountain Crew

  • We treat our guides, cooks, porters and rangers fairly, with fair wages, safe loads and proper equipment. We ask you to treat them with respect.
  • The summit is never guaranteed. Weather, route conditions, health and safety can prevent a summit attempt or completion.
  • Tips are customary and appreciated but not compulsory. Our recommended tipping guidelines are on each trek page.

11. Accommodation and Transport

  • Accommodation is as stated in your quotation. If a property is unavailable we will provide a comparable alternative.
  • Our vehicles carry the stated number of passengers, and seat belts should be worn where fitted. Journeys on Tanzanian roads and in parks can be long and rough; timings are estimates.
  • Child seats and other extras are available on request and are charged as stated on the tour page.

12. Responsibility and Liability

  • We take reasonable care in arranging your trip and choosing suppliers, such as lodges, airlines and drivers. Where a supplier provides a service, its own terms also apply.
  • To the fullest extent permitted by law, we are not liable for loss, injury, illness, delay or extra cost caused by events beyond our reasonable control, including severe weather, natural disasters, war, civil unrest, strikes, epidemics, government action, border or park closures, or by the acts of travellers, third parties or wild animals.
  • Nothing in these terms limits liability that cannot lawfully be limited.
  • You are responsible for your own belongings and for any damage you cause to vehicles, accommodation or property.

13. Responsible Travel

Please respect local culture and dress modestly in villages and Stone Town, do not leave litter, buy from local communities where you can, and follow Leave No Trace principles. We may end a service without refund if a traveller's behaviour endangers others, wildlife or the environment.

14. Complaints

If something is not right during your trip, tell your guide or call us straight away so that we can put it right. If you are still unhappy after your trip, please write to us within 30 days of returning home, and we will investigate and reply promptly.

15. Website, Photos and Intellectual Property

The text, photographs, logos and design of this website belong to Explore Trekking Adventure or its licensors and may not be copied or used commercially without our written permission. We may take photographs and video during your trip for our marketing; please tell us if you prefer not to be included.

16. Privacy

How we collect and use your personal information is explained in our Privacy Policy.

17. Governing Law

These terms are governed by the laws of the United Republic of Tanzania, and the courts of Tanzania have jurisdiction over any dispute, unless the law requires otherwise where you live.

18. Changes to These Terms

We may update these terms from time to time. The version published on this page on the date you book is the version that applies to your booking.
